Payment in Full
Payment in full may be made by cash, check, money order, MasterCard, VISA, American Express or Discover.
Split Payment Plan
Families may elect to use a two-payment plan. This plan is available for Fall and Spring semester prior to the fourth week of each semester. Split payments may be made by credit or debit card only and must be set up for automatic charges on specified due dates. There is a $20 non-refundable fee each semester for choosing the split payment option. Students who use the split payment plan are also responsible for the $25 annual registration fee.
Payment must be made according to the schedule below:
• First Payment - Registration fee, processing fee, split payment fee and half of the tuition are due at the time of registration.
• Second Payment - The full balance of tuition will be automatically charged to the designated credit or debit card on October 15 (for Fall) or March 15 (for Spring semester).
MacPhail Center for Music is committed to working with students of all economic means. If you require more flexible payment arrangements, please call Student Services at 612.321.0100, ext. 0.
Please be aware that if you pay for your tuition with a credit or debit card, the charge may appear on your statement as “ACT” or “Active” while the charge is in the pending state. Once the charge has been fully processed, the name of the charge will be updated to “ACT-MacPhailCenter”.
Late Payment Fee
A $25 late payment fee will be charged for any payments received after the specified payment plan deadlines. MacPhail reserves the right to suspend instruction when students do not meet their financial obligations; students are still liable for the full cost of instruction. Tuition credit or make-up lessons are not given as a result of lessons missed due to suspension.
Late Registration Fee
A late registration fee of $20 is charged to students who register after the first day of the semester. The late registration fee only applies to continuing students who received a re-registration form. It does not apply to new students, or to continuing students who are registering for a new activity. It is charged one time per semester, per family.
Music Plus! discount
Wherever you see a Music Plus! symbol next to an offering, you may receive a 15 percent tuition discount if you or anyone in your family is enrolled in individual, Music Therapy or Suzuki instruction. This may only be applied during the same semester as the class being discounted.
Withdrawal & Refund Policies
Withdrawal from Classes, Ensembles, Prelude, Early Childhood Music and Summer Camps Fall and Spring Semesters
A 100% refund will be given for Classes, Ensembles or Early Childhood Music if written (or email) notice is received in the Student Service Center within two business days following the first class. A 75% refund will be given if written notice is received within two business days following the second class. The registration fee and payment plan fee are non-refundable.
Summer Withdrawal from Individual & Suzuki Instruction
Withdrawal requests must be received within two business days following the first class for a 100% refund. Summer camp withdrawals should be received no later than two business days before the start of the camp. After this time, there will be no refunds.
Before the 4th lesson of the semester: Students must provide written (or email) notice of withdrawal and refund requests to the Student Service Center in order to receive a refund for the remaining paid lessons. Verbal notices or requests will not be accepted.
After the 4th lesson of the semester: Students must provide written (or email) notice of withdrawal and refund requests to the Student Service Center four weeks in advance, and are responsible for payment of four lessons from the date of the withdrawal notice. The remaining paid lessons will be refunded. Verbal notices or requests will not be accepted.
Missed Lessons, Classes & Ensembles As a courtesy, please call or email your instructor in advance of any absence or leave a message with the Student Services Center at 612-321-0100. Prior notification does not exempt students from payment. Students are charged for all the lessons for which they register, including those missed through student absence. In the event the instructor cancels a lesson, a makeup lesson will be offered at a mutually convenient time.
There are no refunds for Early Childhood Music classes missed due to vacations or illness; however makeup classes are provided for missed classes by contacting the Student Service Center at 612-321-0100.
All lessons must be completed and refunds must be claimed by the last day of the semester for which they were registered. After that, no lessons or refunds will be given.Music Therapy Attendance Policy
Private Individual Sessions
Music Therapy has a 24-hour in advance notice cancellation policy. In the event of an unforeseen emergency you may discuss this with your Music Therapist. However, due to our therapists’ full schedules, it may not be possible to provide a make-up session. If the Music Therapist is absent due to illness or another critical reason, the Music Therapist will provide a make-up date for the missed session. If a make-up session is provided, the session must take place within the semester the absence occurred. To schedule a make-up session, contact your music therapist.
There are no refunds for Music Therapy classes missed due to vacations or illness.
MacPhail reserves the right to cancel classes or ensembles with insufficient enrollment. Classes or ensembles that do not meet minimum enrollment 24 hours before the first meeting may be cancelled. In the event a class is cancelled, you will be notified and given the opportunity to transfer to another class. If you do not enroll in another class you will receive a full refund, including any registration or payment plan fees.
Emergency School Closing
The decision to close MacPhail on account of weather is determined by safety conditions and is based on state advisories. MacPhail does not guarantee make up lessons or classes for dates closed on account of an emergency. MacPhail is committed to remaining open whenever possible. To check for a closing, call 612-321-0100 for a recorded message or check MacPhail’s website. NOTE: Any MacPhail program that takes place in a host-site will be cancelled if the site is closed due to weather (e.g. Birch Lake Elementary hosts our White Bear Lake location. If the WBL schools are closed, MacPhail’s programs will be cancelled.)
With at least one week’s notice to the teacher, a regularly scheduled lesson that is missed because of a religious holiday will be rescheduled. This policy does not apply to classes and ensembles.

Early Childhood Music Policies
Multiple Siblings in One Class
If you are registering more than one child in the same adult-child class session we encourage you to keep a ratio of one adult per child. One-on-one interaction in the class makes the experience more rewarding for both the adults and children involved. The only exception is the Family Music Class.
Sibling Discount Policy
When you register one child for Early Childhood Music classes at MacPhail for full tuition, each additional child in your immediate family will receive a 10% discount for Early Childhood Music classes for the same semester. This discount does not apply to the Family Music Class.
Students may request to be placed on a waiting list for a full class if complete registration and payment information is received, (payments will not be processed unless the student is placed in a class). You will be contacted by phone only if space becomes available. Students can be put on the wait list with only a payment of $25 instead of complete payment. That payment will be processed, but refunded if the student is not placed in a class.
Make Up Classes
Makeup classes are available for most classes. Please limit the number of makeup requests to one-fourth of the total semester classes to maintain continuity for your child and others in the class. Classes must be made up during the semester in which you are registered.
